Using Web File Manager
The Web File Manager (WFM) provides a way for you to share a document (or any other file, such as a database) with others. You can access the document, change it, and replace it in the repository.
Access to the WFM features is controlled carefully so that only those authorized can access files in the WFM. You are granted access to one or more folders in WFM. Once you have this, you can access files in the folder assigned if those files have permission set for you to access. The default file permission is that anyone with your role can access any file in the directory. This can be changed on a per-file basis.
If you want to use a file that you are authorized to access, follow the steps below. If you want to Import a new document into a new folder, you must request that the folder be created for you.
STEPS TO USING THE WFM
-
LOGIN: Go to the web site and login to your account. Enter your Username and Password in the boxes on the left.
-
WFM: At the web site left menu, which is visible on all pages except the home page, click “Web File Manager.” You will see the folders and files in that folder.
-
Navigate to the folder where you want to save and retrieve documents. Click on the folder name.
-
Checkout: There is no built-in checkout capability. If you download the file and make changes while someone else downloads the file and then replaces it after you, your changes will be lost. If you plan to change the file, do the following:
Upload a file named Checkout<filename>.txt (replace <filename> with the name of the file you want to change) with the contents of the file being your name, so others can see that you have taken a copy and plan to make changes.
-
Download: Right-click on a document on the web site to see your options for the document.

Due to the nature of different browsers, how your browser works with these options will vary. Try them to see what works for your browser. I usually select Download as File, and then I can either open or save the file.
NOTE: Depending on the browser you use and how you have protection set, you may need to authorize the file download. Due to security concerns, browsers are becoming more protective, which is a good thing.
-
Upload: After you have made changes and are ready to upload the document, click on “File Upload.”
Browse to the file on your local system that you want to check in. Click “Upload.”

When “Select Versioning Option” appears, select the first option “Replace and Rename original copy.” This will keep the file name, and the prior version of the file will have another name so that we have it as backup. -
Check in: If you created a checkout document, delete that document now so the rest of us know that you are done with your changes.
-
NEW DOCUMENT: To store a new document in the folder, click “File Upload.” Browse to the file to upload. Click “Upload.” The file will be uploaded.
